As an Operations Volunteer, you will play a critical role in the success of Charlotte Gaymers Network events. Your contributions ensure our events run smoothly, creating a welcoming and enjoyable experience for all attendees. Below are your key roles and responsibilities:
Roles & Responsibilities
Event Logistics & Setup
- Prepare Equipment: Ensure all gaming consoles, monitors, and accessories are functional and ready for deployment.
- Event Setup: Assist in setting up consoles, monitors, power strips, controllers, and other gaming-related equipment. This includes arranging stations for optimal attendee use.
- Venue Preparation: Help set up tables, chairs, decorations, signage, and other materials needed for the event.
- Test Equipment: Verify that all systems are working properly before the event starts (e.g., controllers connected, games installed and updated, internet tested).
Event Operations
- Attendee Support: Assist attendees with questions related to equipment or event logistics (e.g., how to join a game or troubleshoot controllers).
- Monitor Equipment Usage: Oversee gaming stations to prevent technical issues and ensure proper care of equipment.
- Crowd Flow: Help maintain organized and safe traffic flow around gaming areas to avoid congestion.
Tear Down & Cleanup
- Equipment Packing: Safely power down, disconnect, and pack up gaming consoles, monitors, and accessories after events.
- Inventory Check: Conduct a post-event inventory check to ensure all equipment is accounted for and undamaged.
- Venue Cleanup: Assist with trash disposal, table breakdown, and returning the venue to its original state.
Team Collaboration
- Follow Instructions: Work closely with the Event Coordinator and other team members to execute tasks efficiently.
- Problem Solving: Communicate promptly if issues arise during setup, operation, or tear down.
- Time Commitment: Arrive on time and stay until your shift or assigned tasks are completed.
General Expectations
- Professionalism: Represent Charlotte Gaymers Network with a positive, friendly attitude.
- Respect: Treat equipment, spaces, and attendees with care and consideration.
- Adaptability: Be flexible and willing to assist with unforeseen tasks or changes in plans.
Time Commitment
- Typically 2–4 hours per event, including setup and teardown.
- Availability for pre-event meetings or training sessions may be required.
Skills & Qualifications
- Interest in gaming and community building.
- Comfortable with basic technology and troubleshooting.
- Ability to lift up to 25 lbs (e.g., equipment cases).
- Strong communication and teamwork skills.
